1. Introduction

Building Minds Building Communities, Inc. ("B2MC," "we," "us," or "our") is a 501(c)(3) nonprofit organization based in Bedford-Stuyvesant, Brooklyn, New York. We are committed to protecting the privacy of our community members, donors, volunteers, and website visitors.

This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding your personal information. By using our website at b2mcommunities.org or interacting with our programs, you agree to the practices described in this policy.

2. Information We Collect

We collect information in the following ways:

Information you provide directly:

• Contact forms (name, email, phone, message)
• Program enrollment and event registration (name, email, phone, age group, and your selected time slot where applicable)
• Information about children or other participants you register, such as first name, age, and gender, provided by a parent or guardian
• Parent or guardian name, contact information, and consent when a participant is under 18
• Photos, video, and audio recordings from events and programs, only with permission as described in our Media Release Policy
• Your phone number and your text message choices (registration updates, B2MC news, or both), if you choose to opt in
• Volunteer and partnership inquiries
• Newsletter subscriptions (email address)
• Donations processed through Zeffy or Givelify (name, email, donation amount — payment details are handled by those platforms)

Information collected automatically:

• Basic website analytics (page views, general location, device type) via privacy-respecting tools
• Cookies necessary for website functionality

3. How We Use Your Information

We use the information we collect to:

• Respond to your inquiries and contact form submissions
• Process event registrations and program enrollments
• Send program updates, event announcements, and organizational news (only if you have opted in)
• Send the text messages (SMS/MMS) you chose: registration updates if you opted in to those, and B2MC news only if you opted in to news separately
• Process and acknowledge donations
• Improve our programs and website
• Comply with legal obligations as a registered nonprofit

We do not use your information for advertising, behavioral tracking, or sale to third parties — ever.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share information only in the following limited circumstances:

• Service providers: We use Zeffy and Givelify for donation processing, Beehiiv for newsletter distribution, Resend for email delivery, Twilio for text message delivery, Google Workspace for email and calendars, Cloudflare for website hosting and data storage, and artificial intelligence service providers that help us draft, route, or answer messages. These providers process data only to deliver services on our behalf, may not use it for their own marketing, and have their own privacy policies.
• Legal requirements: We may disclose information if required by law, court order, or government authority.
• Organizational filings: As a 501(c)(3), we file Form 990 with the IRS which is publicly available. Donor names are not disclosed on public filings.

Mobile information is never shared for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories above exclude text messaging and calling opt-in data and consent; this information will not be shared with any third parties.

5. Text Messages

B2MC offers two separate, optional text message programs from our official toll-free number, 1-888-288-2262. Each has its own checkbox on our forms, and you can choose either, both, or neither.

• Registration updates (informational): confirmations, reminders, and updates about a registration you made (such as time changes), or replies about a message you sent us. Usually 1–4 messages per registration. Includes replies you request, such as your private link to change or cancel a registration.
• B2MC news (promotional): upcoming B2MC events, programs, and ways to get involved, which may include images such as event flyers. Up to 4 messages per month. Sent only if you checked the separate news box.

• Consent: You opt in by checking the box for each program on a B2MC form and providing your mobile number. Boxes are never pre-checked, and consent is never required to register, enroll, volunteer, donate, or contact us.
• Costs: Message and data rates may apply.
• Stop texts: Reply STOP to any text. You'll receive one confirmation, and no further texts will be sent to your number unless you opt in again (reply START).
• Help: Reply HELP for help, or contact office@b2mcommunities.org or 646-685-3636.
• Automatic replies: Some replies are sent automatically, for example when you reply 1 (still coming) or 2 (can't make it). Other messages are read by authorized B2MC staff.
• Your data: We keep a record of each consent (including the date, time, and wording you agreed to) and of messages exchanged, so we can honor your choices. Your phone number, opt-in data, and consent are never sold or shared with third parties or affiliates for marketing or promotional purposes.

Please don't share sensitive information such as medical details or Social Security numbers by text. Our text line is not monitored for emergencies; in an emergency, call 911. See our Terms of Use for full terms.

6. Data Storage and Security

Form submissions and registration data are stored in a secure Cloudflare D1 database hosted on Cloudflare's global infrastructure. We use industry-standard security practices including encrypted transmission (HTTPS), access controls, and regular security reviews.

No system is 100% secure. If you have concerns about a specific piece of information, please contact us directly.

7. Your Rights

You have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Delete your information from our systems (subject to legal obligations)
• Unsubscribe from our newsletter at any time via the unsubscribe link in any email
• Opt out of non-essential communications
• Stop text messages at any time by replying STOP

To exercise any of these rights, email office@b2mcommunities.org with your request. We will respond within 30 days.

8. Children's Privacy

B2MC serves children through our ASEP Jr. and ASEP Youth programs, community events, and family activities. We collect minimal information about minors only as necessary for program and event administration, and only with parental or guardian consent. Photos of children are used only with a parent's or guardian's permission, never with a child's full name, and never tagged on social media (see our Media Release Policy). Registrations for participants under 18 must be completed by, or include consent from, a parent or legal guardian. We do not collect information from children under 13 through our website without verifiable parental consent in compliance with COPPA. Text messages go only to the adult contact who opted in, not to children.

9. Cookies

Our website uses only essential cookies necessary for basic site functionality and security (including Cloudflare Access for staff authentication). We do not use advertising cookies, tracking pixels, or third-party analytics that profile individual users.

10. Third-Party Links

Our website may link to third-party platforms including Zeffy, Givelify, YouTube, and Google Maps. These platforms have their own privacy policies, and we encourage you to review them. B2MC is not responsible for the privacy practices of external sites.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date. For significant changes, we will notify subscribers via email.
